Operations Manager | Position Description

Non-Operational Requirements:

WOA seeks applications for a salaried Operations Manager position to begin NOW from individuals seeking to join our efforts:...to protect, promote, and preserve the shellfishing industry in Wellfleet.”  Excellent interpersonal skills are a must in this position as the individual will work for a board of professional volunteers along with the public, our shellfishing community, our neighbors in Wellfleet, and everyone else. The successful candidate will work well with others, be extremely organized, and be able to manage multiple projects at the same time. We seek an individual who embraces the WOA mission and who will be committed to promoting the organization in a professional, consistent, enthusiastic, and positive manner, without exception. The Operations Manager reports to the board of directors. 

As Operations Manager at The Wellfleet Oyster Alliance, you will play a vital role in the day-to-day operation of the Alliance including overseeing the physical office space, organizing meetings and assisting the board of directors. As needed, you will also be responsible for coordinating program activities, managing participant recruitment, and ensuring that programs align with our mission to raise funds to educate, engage, and support the community to promote interest and understanding in Wellfleet's shellfishery, and to become a leading advocate for the conservation and sustainable management of Wellfleet's shellfishery, inspiring generations to cherish and protect our coastal ecosystem. Most importantly you will be a vocal champion of the Alliance, its BOD, and mission, helping to improve our connections with the community.

Task List

WOA Office Management: 

  • Maintain regular office hours at least 10 hours per/week on-site during peak season, organize office files, maintain office supplies.

  • Communications: Respond to or advance essential communications via emails, snail mail, word of mouth, etc. within 2 working days.

  • Social Media: Collaborate with external marketing company.  Independently build on existing outlets to maintain relevance in the social media space. Create at least 2 organic pieces of content each week.

  • Organize Files: Build-out shared Google File system, organize/schedule/communicate monthly BOD meetings - take notes/share with BOD within 2 working days and follow up with actionable items in a timely manner.

  • Coordinate WOA Sponsorships - build out and increase sponsorships.

  • Organize Membership - improve opportunities and meaningful benefits - maintain accurate lists - communicate with members, create annual membership event.

Support Programs:

  • Community Grants: Promote and manage WOA community grant program. 

  • Grant Proposals: Spearhead grant proposals to increase external financial support.

  • Scholarship Program: Maintain communication with NRHS and recipients - ensure payment.

  • MOP Partnership: Oversee Summer Shell Collection Progam & advance partnership.

  • Community Outreach: Build relationships with community partners and stakeholders to support program goals. Strong participation in Wellfleet State of the Harbor, participate in SAB and other related committee meetings as needed.

  • Newsletter: Aid editor with content development, marketing and distribution.

  • Support WOA Shellfish Farm Tours- scheduling, staffing, promotion and sell out all tours.

Elevate Annual Events:

  • Art and Oyster Crawls - produce 2x year and sell out of tickets.

  • Year ‘round educational events - produce at least 3/year.

  • Oversee Wellfleet Makers Market - ensure WOA mission is front and center.

  • Partner Events - Wellfleet Chamber of Commerce, Wellfleet Council on Aging, Wellfleet Historical Society & Museum, Audubon, Preservation Hall, etc.

Program Manager - Oysterfest:

  • Manage Volunteers for Oysterfest 

  • Manage Vendors & Non-Profits

  • Create layout

  • Raw Bar Management

  • Submit Use of Town Property application for Fest & Main St. banners.

Skills/Knowledge & Ability Requirements

  • Industry knowledge: Strong working knowledge of the shellfishing industry.

  • Computer Literacy: Specifically the Google platform, Constant Contact, Quick Books.

  • Experience with Non-Profit organizations is a plus.

  • Communication: Effective communication skills both verbal and written.

  • Problem-solving: Ability to prioritize decisions with focus on mission first (ie: education) 

  • Collaboration: Including conflict resolution, and task management skills.

  • Interpersonal: Ability to interact with a multitude of different groups of people.

  • Leadership: Ability to influence and guide others toward shared goals.

  • Learning: Ability to absorb new information on the job and adapt as new challenges arise.

Qualifications

  • Demonstrated ability to manage projects, meet deadlines, and work independently.

  • Excellent communication and interpersonal skills, with experience in community outreach.

  • Proficiency in data management and reporting tools.

  • Passion for WOA mission commitment to serving the community.
